Privacy notice
What we collect when you book, why we need it and how long we keep it.
What we collect
When you make a booking request we collect your name, email address, phone number, chosen date, party size, pickup point and any dietary or access information you give us. We collect this because we cannot run the day without it.
Dietary and access information
Dietary requirements are passed to the pub in advance so your meal can be prepared. Access information is used to plan the day and, where relevant, to tell you honestly what will and will not work. We do not share either with anyone else.
Payments
Card payments are processed by Stripe. We never see or store your full card details. Stripe holds the payment record and we hold the booking record.
Managing a booking
When you request access to the secure booking area, we create a short-lived verification code and record security information needed to limit repeated attempts. We keep an audit of practical-detail updates and change or cancellation requests so both you and we have an accurate booking history.
Touring notes and offers
We send marketing only when you tick the separate consent box and then confirm your email. We record the wording you agreed to, its source and time. Resend stores the contact and preference record, while Supabase remains our source of truth. You can unsubscribe through any marketing email without affecting essential booking, payment or tour-operation messages.
Customer and enquiry records
We keep one customer record across enquiries, newsletter signups, incomplete checkouts and bookings. It can include contact details, tours and dates discussed, follow-up notes, booking history, payment status and where you told us you heard about us. This helps us reply properly and avoids asking you for the same information repeatedly.
Source tracking
If you allow source tracking, this site stores the campaign, referring website and landing page that brought you here, plus recognised advertising click identifiers when they are present. First and latest source details are kept for up to 90 days and are attached to a later enquiry or booking. We do not install third-party analytics or advertising pixels, and declining does not affect the website or booking process.
Email delivery and mailbox records
We record which essential emails were queued and whether Resend reports them as sent, delivered, delayed, bounced, failed or complained about. Relevant direct conversations with hello@cotswoldlanetours.com may be copied securely from Zoho Mail into the customer timeline so the booking and conversation remain together. Attachments remain in Zoho.
If you contact us through WhatsApp, that conversation sits on your device and ours, and is subject to WhatsApp’s own privacy terms as well as this notice.
How long we keep it
Booking and payment records are kept for the period required for accounting, tax and legal purposes. Prospect records that never become bookings, and copied email bodies, are removed after 24 months of inactivity. Source-tracking data stored in your browser expires after 90 days.
Your rights
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Message us and we will do it.
Browser storage and analytics
This site uses no third-party analytics or advertising cookies. With permission, it uses first-party browser storage for source tracking for up to 90 days. The secure booking area uses one essential, short-lived cookie after you verify your email; it expires after 30 minutes and is not used for marketing.
Source-tracking choice
Your current choice is not yet chosen. You can change it at any time. Choosing “do not allow” removes the saved source information from this browser.
